Karaoke Hire Wellington – Terms & Conditions

These Terms & Conditions apply to all karaoke equipment hired from Karaoke Hire Wellington. By making a booking, accepting delivery, collecting equipment, or allowing equipment to be delivered or installed, the hirer agrees to these Terms & Conditions.

1. Booking & Acceptance

A booking is confirmed only when Karaoke Hire Wellington has provided written confirmation of the booking.

By accepting the equipment, the hirer agrees to these Terms & Conditions.

Any variation to these Terms & Conditions must be agreed in writing by Karaoke Hire Wellington.

2. Delivery, Collection & Access

The hirer is responsible for ensuring that suitable parking and reasonable access are available for delivery and collection.

This is particularly important for Wellington CBD and other locations where parking, loading zones, stairs or building access may make delivery difficult.

Karaoke equipment can be heavy and may require several items to be carried from the delivery vehicle to the venue.

The hirer must advise Karaoke Hire Wellington before delivery if there are any access difficulties, including:

  • Restricted parking
  • Stairs
  • Long distances between parking and the venue
  • Narrow entrances or doorways
  • Lift restrictions
  • Difficult loading or unloading areas
  • Restricted delivery times
  • Any other circumstances that may make delivery or collection difficult

Additional charges may apply where special delivery or collection arrangements are required.

If reasonable access cannot be provided, Karaoke Hire Wellington reserves the right to delay delivery, charge additional reasonable costs, or decline delivery where it would be unsafe or impractical.

3. Equipment Demonstration

When the karaoke equipment is delivered, installed or collected by the hirer, Karaoke Hire Wellington may demonstrate how the system operates.

The hirer will be shown the basic operation of the equipment, including where appropriate:

  • Turning the system on and off
  • Using the karaoke screen
  • Selecting songs
  • Using the microphones
  • Adjusting microphone volume
  • Adjusting music volume
  • Using Bluetooth or other approved connections
  • Operating the karaoke system safely

The equipment will be checked before hire and supplied in working order and suitable for its intended purpose.

The hirer must follow the instructions provided and must not attempt to repair, modify or dismantle the equipment.

4. Hire Period

The standard karaoke hire period is overnight.

Unless otherwise agreed, equipment will normally be:

Delivery / Collection: Mid to late afternoon on the day of the hire.

Return / Collection: Before 12:00 noon the following day.

Alternative hire periods may be available by prior arrangement.

Late Returns

Equipment must be returned or made available for collection at the agreed time.

Karaoke Hire Wellington reserves the right to charge for late returns.

Late-return charges may be calculated on a pro-rata basis using the applicable hire rate.

If a late return prevents the equipment from being supplied to another customer, Karaoke Hire Wellington may charge for the full additional hire period or any reasonable resulting costs.

5. Condition of Equipment

All karaoke equipment is inspected and tested before being hired to a customer.

The hirer must return all equipment in substantially the same condition in which it was supplied, allowing for normal wear and tear.

All equipment must be returned clean and free from:

  • Food
  • Drinks
  • Alcohol
  • Candle wax
  • Smoke residue
  • Dirt
  • Other substances that may damage the equipment

A reasonable cleaning charge may apply if equipment requires additional cleaning following the hire.

6. Damage, Loss & Theft

All karaoke equipment remains the property of Karaoke Hire Wellington or its equipment owners.

The hirer is responsible for the equipment from the time it is delivered, installed, collected by the hirer, or otherwise placed into the hirer’s care until it is returned to and accepted by Karaoke Hire Wellington.

The hirer may be responsible for reasonable costs arising from:

  • Loss of equipment
  • Theft
  • Accidental damage
  • Deliberate damage
  • Damage caused by misuse
  • Damage caused by negligence
  • Damage caused by unauthorised modification
  • Liquid damage
  • Damage caused by food or alcohol
  • Damage caused by incorrect operation

Where equipment is damaged, Karaoke Hire Wellington may charge the reasonable cost of repair.

Where equipment is lost, stolen or damaged beyond economical repair, the hirer may be responsible for the reasonable replacement cost.

Karaoke Hire Wellington will provide reasonable details of any damage or loss claim.

7. Equipment Inspection After Hire

Karaoke Hire Wellington will inspect returned equipment as soon as reasonably practicable after the hire period.

If damage or loss is identified, the hirer will be notified within a reasonable period.

The hirer may be asked to provide information about the circumstances in which the damage or loss occurred.

Nothing in these Terms & Conditions limits any rights the hirer may have under applicable New Zealand law.

8. Karaoke System & Computer Safety

Karaoke systems may contain computers and other sensitive electronic equipment.

The system must be shut down correctly before the power is disconnected.

Do not unplug the karaoke system while the computer is operating.

Incorrectly disconnecting power may result in damage to the computer, software or other equipment.

The hirer must not:

  • Install software
  • Delete software or files
  • Change system settings
  • Connect unauthorised equipment
  • Attempt to repair the computer
  • Open the equipment cabinet
  • Disconnect internal cables
  • Modify the karaoke system

Any problems with the system should be reported to Karaoke Hire Wellington.

9. Microphone Use

Microphones and microphone cables must be handled carefully.

The following are not permitted:

  • Swinging microphones by their cables
  • Pulling microphones by their cables
  • Excessively twisting microphone cables
  • Dropping microphones
  • Throwing microphones
  • Allowing microphones to be stepped on
  • Placing drinks on microphones or microphone equipment

Microphone damage, including damaged cables or connectors, may result in a repair or replacement charge.

10. Karaoke Song Books

Where karaoke song books are supplied, they must be treated with care.

Do not:

  • Tear pages out
  • Remove pages
  • Write extensively in the books
  • Use pages as notepaper
  • Burn pages with cigarettes
  • Spill drinks on the books
  • Damage the books with food or alcohol

Lost or damaged song books may incur a reasonable replacement charge.

11. Sound System Use

Karaoke systems are capable of producing high sound levels.

Excessive volume, excessive bass or amplifier clipping can damage speakers and amplifiers.

To reduce the risk of damage:

  • Keep the volume at a reasonable level
  • Do not continually operate the system at maximum volume
  • Avoid excessive bass settings
  • Do not deliberately cause the amplifier to clip or distort
  • Do not allow guests to repeatedly increase the volume beyond recommended levels

Karaoke Hire Wellington can demonstrate the recommended operating levels when the equipment is delivered or collected.

The hirer is responsible for ensuring that guests do not misuse the equipment.

12. Drinks, Alcohol & Liquids

Drinks and other liquids must be kept away from all karaoke equipment.

Particular care must be taken around:

  • Karaoke computers
  • Screens
  • Speakers
  • Amplifiers
  • Microphones
  • Microphone receivers
  • Power boards
  • Cables and electrical connections

Liquid damage may result in repair or replacement costs.

The hirer is responsible for taking reasonable precautions to prevent guests from spilling drinks onto the equipment.

13. Safety & Use of Equipment

The karaoke equipment must only be used for its intended purpose.

Equipment must not be:

  • Used outdoors in unsuitable weather
  • Exposed to rain or excessive moisture
  • Placed where it may be knocked over
  • Covered or obstructed in a way that could cause overheating
  • Used in a manner that creates an unreasonable risk to people or property

The hirer must ensure that children and guests do not interfere with electrical equipment, cables, speakers, screens or other karaoke equipment.

Cables should be positioned safely to minimise trip hazards.

14. Risk & Damage to Property or Persons

The hirer is responsible for taking reasonable care when using the karaoke equipment and for ensuring that it is used in a safe environment.

The hirer must take reasonable steps to prevent injury to guests, members of the public and other persons at the venue.

Karaoke Hire Wellington will not be responsible for loss or damage to the extent that it is caused by the hirer’s misuse, negligence, failure to follow instructions, or failure to provide a reasonably safe environment.

Nothing in these Terms & Conditions is intended to exclude or limit any liability that cannot legally be excluded or limited under New Zealand law.

15. Cancellation

If you need to cancel your booking, please notify Karaoke Hire Wellington as soon as possible.

A cancellation is not considered confirmed until Karaoke Hire Wellington has provided written confirmation of the cancellation.

Customers should retain the written cancellation confirmation for their records.

Standard Cancellation Charges – January to October

Cancellation charges are:

72–96 hours before the start of the hire period:
25% of the hire charge.

48–72 hours before the start of the hire period:
50% of the hire charge.

24–48 hours before the start of the hire period:
75% of the hire charge.

Less than 24 hours before the start of the hire period:
100% of the hire charge.

16. November & December Bookings

Due to the extremely high demand for karaoke equipment during November and December, bookings made for these months are subject to a 100% cancellation charge.

This reflects the increased likelihood that Karaoke Hire Wellington will be unable to rebook the equipment and the delivery and collection schedules committed to other customers during this period.

If you are uncertain whether your event will proceed, we recommend waiting until you are confident before making a booking.

17. Payment

Payment may be made by:

  • Cash
  • Bank deposit
  • Any other payment method agreed to by Karaoke Hire Wellington

Unless otherwise agreed in writing, payment is required when the equipment is delivered or collected by the hirer.

Alternative payment arrangements must be agreed before delivery or collection.

The hirer is responsible for any reasonable costs incurred by Karaoke Hire Wellington in recovering unpaid amounts.

Where permitted by law, interest may be charged on overdue amounts at a rate of 1.5% per month.

18. Hirer’s Responsibilities

The hirer agrees to:

  • Provide accurate booking and contact information
  • Ensure suitable access for delivery and collection
  • Take reasonable care of all karaoke equipment
  • Operate the equipment according to instructions
  • Prevent guests from deliberately or negligently damaging equipment
  • Keep drinks and liquids away from equipment
  • Return all equipment at the agreed time
  • Return equipment in a clean and reasonable condition
  • Notify Karaoke Hire Wellington immediately if equipment is damaged
  • Notify Karaoke Hire Wellington immediately if equipment is lost or stolen
  • Notify Karaoke Hire Wellington immediately if the equipment develops a fault

19. Equipment Faults

Karaoke Hire Wellington makes reasonable efforts to test all equipment before every hire.

If equipment develops a fault during the hire, the hirer must contact Karaoke Hire Wellington as soon as possible.

The hirer must not attempt to repair or modify the equipment.

Where reasonably possible, Karaoke Hire Wellington will attempt to resolve the problem or provide a suitable alternative.

The hirer should not arrange third-party repairs without prior approval from Karaoke Hire Wellington.

20. Personal Information

Karaoke Hire Wellington may collect and use personal information provided by the hirer for purposes relating to:

  • Bookings
  • Payments
  • Equipment hire
  • Customer service
  • Administration
  • Communicating with the hirer

Personal information will be handled in accordance with applicable New Zealand privacy legislation.

Customers may have rights to access and correct personal information held by Karaoke Hire Wellington, subject to applicable law.

21. Property Access & Equipment Recovery

Where equipment remains at a location after the agreed hire period, Karaoke Hire Wellington may contact the hirer to arrange its return or collection.

The hirer agrees to provide reasonable access to the equipment for collection, inspection or recovery, subject to applicable law.

Karaoke Hire Wellington will not enter private premises without appropriate permission or legal authority.

22. New Zealand Law

These Terms & Conditions are governed by the laws of New Zealand.

Nothing in these Terms & Conditions is intended to exclude, restrict or override any rights or protections that cannot legally be excluded or restricted under New Zealand law.

Where applicable, the Consumer Guarantees Act 1993, Fair Trading Act 1986, Privacy Act 2020, and other relevant New Zealand legislation will apply.

23. Acceptance of Terms & Conditions

By making a booking with Karaoke Hire Wellington, accepting delivery, collecting equipment, or taking possession of the equipment, the hirer confirms that they have had the opportunity to read and understand these Terms & Conditions and agrees to be bound by them.

If the hirer has any questions about these Terms & Conditions, they should contact Karaoke Hire Wellington before accepting the equipment.

Any variation to these Terms & Conditions must be agreed in writing by Karaoke Hire Wellington.
